Get Us What We
Need, Then We Move Fast.
This is the list. Gather it once, send it once, and your build starts at full speed on day one.
Around forty items, grouped so you can split them between people. Print this page or work down it on screen.
The one rule, said up front
Your launch date is protected by your asset deadline. If your material has not landed by the date we agreed at kickoff, your launch date moves, because the next build starts on schedule and we will not compress it to absorb a delay.
We will remind you before it becomes a problem. Nothing here is a surprise and nothing here is punitive. It is the same discipline that let us give you a real date in the first place.

Send everything to one place
You will get a shared folder link in your kickoff email. Everything goes in there, not across six email threads, not in a text, not in a DM.
This is not us being fussy. Assets scattered across threads is the single most common reason something gets missed, and the thing that gets missed is always found in week five.
-
Files, photos, logos, documents
The shared folder in your kickoff email. Not six email threads, not a text, not a DM.
-
Logins and passwords
Never by email. We send a secure link, you use that, and it expires once you do.
-
Questions and approvals
Reply on the project thread, so the decision and the reason for it stay in the same place.
-
Something urgent
Call +1-248-205-6977. Any hour if the site is down.
Everyone sends these
Whichever build you bought, this is the base list. 20 items in four groups, so you can hand two of them to somebody else.
Accounts and logins 5
- Domain registrar loginGoDaddy, Namecheap, Google Domains, wherever you bought it. If you would rather not share it, we will send you exact DNS records to paste instead, but then you need to be available on launch day. GoDaddy delegate access guide
- Current hosting and website adminSo we can map every existing URL and redirect it. Without this, everything that ranks today 404s on launch day.
- Google Business Profile, manager accessYou stay the owner, always. We send an invite you accept from inside your own profile. How to invite us
- Google Analytics and Search ConsoleIf you have them. Keeps your history instead of restarting your data at zero.
- Email providerJust who it is. Google Workspace, Microsoft 365, your host. We need to know so DNS changes do not break your email.
Logos and colors 4
- Logo, vector format
.ai,.epsor.svg, not a JPEG, not a PNG, not a screenshot of your own website. If a vector genuinely does not exist, tell us now. That is a conversation, not a blocker, and it is much cheaper to solve in week one. - One-color and reversed versionsIf you have them. If not, we will make them.
- Brand colorsHEX codes if you know them. “The blue on our truck” also works, send a photo.
- Fonts you already useOnly if you own licenses for them. Otherwise we will pick something close and legal.
Words and pictures 6
- Photos of your actual workThe single biggest difference between a site that looks like yours and one that looks like a template. Phone photos of real jobs beat stock every time. Send more than you think, 20 is better than 5. Highest resolution you have, straight off the camera roll.
- Team photosFaces build trust faster than any headline. Even one good one of you.
- Your service listEverything you do, in the words your customers use. Not the words your industry uses.
- Pricing, if you publish itOr your position on why you do not.
- Anything already writtenOld brochures, an About paragraph, the copy off your current site. Rough is fine. We would rather edit yours than invent something.
- Reviews and testimonialsScreenshots are fine. Tell us if any need permission before we publish them.
Where leads go 5
- Which inbox gets form submissionsAnd who actually watches it.
- Which phone gets the alertIncluding at 7pm on a Saturday, if you want it then.
- Your real hoursIncluding holidays and seasonal changes.
- Your service areaBy city or by radius. Honestly, if you do not go to Novi, do not list Novi.
- NAP, exactly as you want it everywhereBusiness name, address, phone, in the exact format we should use forever.
Suite 4orSte 4.(248) 555-0100or248-555-0100. Pick one now and we will match it across the site, the profile and every listing.
Then these, depending on what you bought
Find the one you bought and ignore the rest. Foundation and Growth stack, so each builds on the list above it. Color-coded to match the engines.
Musicians, bands and artists 7
- Short bio and long bioOr three paragraphs of notes written at two in the morning, and we will turn them into a short bio, a long bio and the one-liner a promoter pastes into a listing.
- Five to ten press photosHighest resolution you have, with photographer credits. Credits are not optional. They are how you keep the right to use them.
- Every release, on every platformSpotify, Apple Music, Bandcamp, YouTube. Links, artwork, credits, release dates.
- Upcoming datesVenue, city, date, ticket link. Even if it is two.
- Stage plot and input listIf you have them. This is the page that gets you booked and most acts forget it.
- Press quotes, radio spins, notable support slotsAnything that proves you draw.
- Merch, if you are selling on the siteProduct photos, names, prices, and your Stripe account.
New business, being found for the first time 4
- Do you have a Google Business Profile yet?Yes or no is all we need. If no, we create it and verify it. That is part of the build.
- Business registration detailsLegal name and address as registered. Google verification checks against it.
- Anywhere you are already listedFacebook, Yelp, a chamber directory, an old site. Even wrong ones, especially wrong ones.
- Your top three competitorsJust names or URLs. It tells us what you are up against locally.
Established, and competing on search 6
- Everything in Presence, plus:
- Full service list, by cityWhich services in which towns. This becomes your service-area page structure and it is the part that ranks.
- Every listing you know ofOld profiles, duplicates, listings with an old address or a disconnected number. The messy ones matter most. They are what the NAP audit fixes.
- Licenses, certifications, accreditationsTrade licenses, insurance, BBB, manufacturer certifications, awards. These are trust signals and they belong on the site.
- Where do customers come from today?Roughly. Referrals, Google, trucks, ads, word of mouth, and whether you can tell which.
- Existing call tracking or CRMIf any. We would rather connect what you have than replace it.
Adding paid traffic on top 8
- Everything in Foundation, plus:
- Google Ads and Meta accountsPartner access, your billing, your name. If you do not have them, we walk you through creating them, in your name, not ours.
- What counts as a qualified leadDefine it in your own words. “Homeowner, in our area, roof over 15 years old, ready this season.” This becomes the scoring rules, so be specific.
- Average job value and close rateReal numbers. Without them nobody can tell whether a $180 lead is excellent or catastrophic, including you.
- Routing rulesWho gets hot leads, who gets warm, what happens after hours, what happens when nobody answers.
- CRM accessYours if you have one. If not, we set one up in your name.
- Your monthly ad budgetThe real number you will commit to, not an aspiration. Minimum $3,000.
- SeasonalityYour busy months and your dead ones. We build the campaign calendar around them.
Emails you will get, so you know they are real
Access requests look like phishing if nobody warns you. Here is exactly what to expect and what it should say.
-
Real
“You have been invited to manage a Business Profile”
from Google
Accept it. It gives us manager access. You stay the owner and can remove us any time.
-
Real
An Analytics or Search Console invite
from Google
Accept it. Same principle: delegated access, on your account.
-
Real
A secure link to send credentials
from us
Use it once and it expires. We will never ask you to email a password, so if something claiming to be us does, it is not us.
-
Real
A Google Ads manager request
from Google, quoting an account ID
Accept it, on Growth builds. Your billing stays yours.
-
Real
A staging link
from us
Private and not indexed. It will look unfinished until it is not.
-
Never us
What we will never ask for
no matter who it looks like it came from
- Your Google account password
- Your bank details
- Ownership transfer of your profile or ad accounts
- A payment to any account other than the one on your invoice
If you get something asking for any of those, call us before you act on it: +1-248-205-6977.
Approvals, and how to give feedback that does not cost you a week
There are two moments where we need you, and both have a deadline. Forty-eight hours on each.
-
Step 1, early
The sitemap and the design direction. This is where you push back, before anything is built. Forty-eight hours.
-
Step 2, on staging
One consolidated list, not a trickle. Deliberately generous, and it is one round. Forty-eight hours.
Home, hero: change Serving Oakland County to Serving Oakland and Macomb.
Services page, third card: wrong photo, use IMG_4471 from the folder.
About: second paragraph is wrong, we started in 2009 not 2011.
Not feeling the homepage.
Can we see it in blue?
One more thing, sent four hours after the last one, six times.
If something genuinely is not working, say that, “the homepage does not feel like us” is a real problem and we want to hear it. Just say it at step 1, when it is a design conversation, rather than at step 2, when it is a rebuild. That is the entire reason we show you the design before we build the site.
What actually delays a build
In order of how often it happens.
-
Photos
Every time. Not the logins, not the copy. Photos. Start taking them the day you sign, before you need them.
-
Assets arriving across six email threads
Something gets missed, and it is always found in week five. Use the folder.
-
A missing login nobody thought to mention
Usually the domain registrar, usually because the person who set it up left.
-
Approvals sitting for a week
Two days is the deadline. A week twice over turns a 6-week build into a 60-day one.
-
Strategy changing mid-build
Fine, and quoted before the work starts, with the new date attached, so you always see both numbers before you say yes.
-
Feedback in a trickle
One list. One send. The review round is one round on purpose.
If your dates are going to slip, tell us early
A vacation, a busy season, a photographer who cannot come until the 20th, none of that is a problem if we know in week one. We move the plan around it. What we cannot do is absorb a silent delay in week four, because by then the next build has already started.
Straight answers
I do not have half of this. Should I wait to book kickoff?
No. Book it, and bring what you have. Kickoff is partly for working out what is missing and how to solve it, a missing vector logo or no photos are both normal, and both have answers. What causes trouble is discovering them in week four, not week one.
What if I do not have a vector logo?
Say so at kickoff. Depending on what exists, it is either a redraw at a few hundred dollars or a conversation about a proper logo. Either way it is cheaper and calmer solved in week one than found by a sign printer in month six.
I have no good photos. What now?
Two options and we will be straight about both. Hire a local photographer for a half day, usually $300 to $600 and the best money you will spend on this project. Or take them yourself on a modern phone, outdoors, in the morning or late afternoon, landscape, ten of everything. Bad photos are the one thing a good build cannot compensate for.
Can I send logins by email?
Please do not. We send a secure link that expires after you use it, and we will never ask for a password any other way. If something claiming to be us asks you to email credentials, call us first.
Who should be on the kickoff call?
Whoever can make decisions, and ideally not more than two people. If someone else has to approve the design, get them on this call rather than relaying it later. It saves a week and it is the single cheapest thing you can do for your own launch date.
What if I miss the asset deadline?
Your launch date moves to the next available slot, because the next build starts on schedule. We agree the deadline with you at kickoff in writing, alongside the date it protects, and we send a reminder before it becomes a problem.
Can I add something to the build once we start?
Yes, and it gets quoted before work starts, never after, with the new launch date attached. You always see both numbers before you decide.
How much of my time will this take?
Realistically: two to four hours gathering assets, an hour on the kickoff call, thirty minutes approving the design, and an hour on the review round. That is it. The rest is ours, and the whole point of the deadlines is that your four hours do not stretch across nine weeks.
Ready?
Start with the photos. Everything else on this page can be found in an afternoon; photos are the one thing that takes real time and the one that delays the most builds.
